Import Students

Please note: Only a School Administrator is able to import students and this functionality is not available for tablets and mobile devices.

IMPORT NEW STUDENT DETAILS

1. Select Import New Student Details from the drop-down menu in Step 1 and click the Submit button.

2. Download and fill in the .csv file by clicking the Download CSV File Template button.

Follow the instructions listed below to fill out the .csv file.

  • All classes need to have been created before importing new students.
  • Begin entering user data in the eleventh row (cell A11).
  • 'Account Type' should be entered as VA for Virtual AccountTA for 30-day Trial Account or SA for Annual Subscription Account.
  • If a student belongs to multiple classes, enter all the relevant class names, each separated by commas.
  • If a student is not assigned to any classes, Class column should be filled in as N/A.
  • All fields are required.
  • Please ensure all the columns does not have illegal characters (' " `).

Please note that instructions can also be viewed by clicking the View Instruction Guide in Step 2.

3. Upload the completed .csv file by clicking the Select File to select the file and once you have selected the file, clicking on the Upload button. 

Please note: Please do not refresh this page or press the back button when the system is processing your data. Additionally, the Student Subscription from your school account will be deducted once you have added the students using the Subscription Account (SA) option.

UPDATE EXISTING STUDENT DETAILS

1. Select Update Existing Student Details from the drop-down menu in Step 1 and click the Submit button.

2. Select student status from either All (excluding discontinued students), Active, Inactive, Virtual, Expired or Discontinued.

3. Download and fill in the .csv file by clicking the Download CSV File Template button.

Follow the instructions listed below to fill out the .csv file.

  • All classes need to be created before importing new students.
  • Please ensure all the columns does not have illegal characters (' " `).
  • Do not alter the 'DATABASE ID', 'ACCESS CODE', 'STATUS', 'ACCOUNT TYPE', 'SUBSCRIPTION STATUS' or 'EXISTING CLASS' fields as they are linked to each user.
  • You may modify 'FIRST NAME', 'LAST NAME', 'NEW CLASS' and 'SUBSCRIPTION ACTION' for the students, if required.
  • An SA(annual subscription account) cannot be downgraded to a TA(30-day free trial account) or a VA(virtual account). A TA(30-day free trial account) cannot be downgraded to a VA(virtual account).
  • The 'SUBSCRIPTION STATUS' column gives you information about the account expiry and will be marked as 'EXPIRING' for the accounts expiring within 30 days, as 'EXPIRED' for the accounts that has already expired or as 'ACTIVE' otherwise. For a virtual account, the 'SUBSCRIPTION STATUS' will be always 'N/A'.
  • When an account is renewed, the account type will be changed to 'SA' and status will be changed to 'ACTIVE'.

TRANSFER STUDENTS

  • To transfer students from an existing class, update the 'NEW CLASS' column for each student.
  • For a student belonging to multiple classes, enter all the relevant class names, each separated by commas.
  • For a student who is not assigned to any classes, the 'NEW CLASS' column should be filled in as 'N/A'.
  • If you would like to remove the student from all their existing classes, the 'NEW CLASS' column should be filled in as 'N/A'.
  • If the student remains in the same class, fill in the 'NEW CLASS' column with their existing class name.

EXPIRED ACCOUNTS

  • Expired accounts should be either renewed or discontinued.
  • If you do not wish to renew/upgrade an expired account, mark the 'SUBSCRIPTION ACTION' as 'DISCONTINUE'. The discontinued accounts will be deleted after the account has expired for 6 months.

ACCOUNT RENEWAL/UPGRADE

  • To renew/upgrade an account, fill in the 'SUBSCRIPTION ACTION' as 'RENEWSUB'.
  • If the account does not need to be renewed/upgraded, 'SUBSCRIPTION ACTION' should be filled in as 'N/A'.

STUDENTS WHO LEFT SCHOOL

  • For students who have left the school, specify the 'SUBSCRIPTION ACTION' as 'DISCONTINUE' and fill in their 'NEW CLASS' column as 'N/A'. The discontinued accounts will be deleted after the account has expired for 6 months. Please note that any existing classes for the discontinued students will be deleted.

REACTIVATE INACTIVE/DISCONTINUED ACCOUNTS

  • To reactivate an inactive/discontinued TA or SA that has not expired, 'SUBSCRIPTION ACTION' should be filled in as 'REACTIVATE'. If the account has expired, 'SUBSCRIPTION ACTION' should be 'RENEWSUB'.
  • To reactivate a discontinued VA, 'SUBSCRIPTION ACTION' should be filled in as 'REACTIVATE'.

DEACTIVATE ACTIVE ACCOUNTS

  • To deactivate an active TA or SA, fill in the 'SUBSCRIPTION ACTION' as 'DEACTIVATE'. A virtual account cannot be deactivated.

4. Upload the completed .csv file by clicking Select File to select the file and, once you have selected the file, clicking on the Upload button.

Please note that the Number of Student Subscriptions remaining is also listed in Step 3.
